Welcome to Care2Run

At Care2Run, we are committed to creating safe, inclusive, and meaningful opportunities for children, families, volunteers, and community members to move, connect, and grow. These Terms & Conditions govern participation in all Care2Run programmes, activities, events, coaching sessions, workshops, and community initiatives.

Quick Highlights for Parents:
Arrival Window

Please arrive 15 minutes early so your child can settle in and prepare. Late entries exceeding 15 minutes cannot be permitted to maintain group safety and focus.

Cancellation Credits

Single sessions with 24–48h notice receive 50% credit. Bundle bookings with >48h notice can reschedule freely; 24–48h receive 80% credit.

Weather & Haze

If outdoor sessions are postponed due to heavy rain, lightning, or severe haze, replacement sessions or session credits will always be provided.

Media & Photo Opt-Out

Photographs support community advocacy. Families wishing to opt out may notify our team in advance; participants are encouraged to wear a discreet "No-Photograph" badge.

  • Booking Confirmation: Your spot is confirmed upon receipt of verified payment. Care2Run reserves the right to decline, suspend, or cancel any registration where participation may compromise the safety, wellbeing, or experience of participants, volunteers, or staff.
  • Programme Availability: To ensure quality delivery, Care2Run may adjust, combine, reschedule, relocate, or cancel sessions where operational, safety, or participant numbers require such changes.
  • Arrival Time: Please arrive 15 minutes early. Arriving earlier allows sufficient time for registration, sensory preparation, and smooth transition into group activities.
  • Late Arrivals: Arrivals exceeding 15 minutes may not be permitted to join the active session, as late entry disrupts participant focus, structured warm-ups, and overall field safety.
  • Participation Requirements: Participants are expected to arrive in suitable physical condition for activity, properly hydrated, dressed appropriately for weather conditions (sports attire & runners), and ready to follow coach guidance.
  • Inclusion & Adjustment Periods: Care2Run recognises that every participant engages differently. Some children may require additional time, observation, or gradual introduction before actively joining activities. Our coaches work closely with families on next steps.
  • Absence Notification: Parents and caregivers should notify Care2Run as early as reasonably possible if a participant is unable to attend a scheduled session.
  • Reserved Places: Where a participant is absent from multiple consecutive sessions without prior notice, Care2Run reserves the right to release the reserved place to a waiting child.

To ensure fair scheduling for our dedicated coaching team and community participants, the following cancellation credits apply:

If Care2Run Cancels a Session: Care2Run reserves the right to postpone, reschedule, relocate, or cancel programmes due to adverse weather (including heavy rain, lightning, or severe Haze), venue availability, safety concerns, or public health guidelines. Participants will be offered a replacement session, session credit, or transfer. Care2Run is not responsible for incidental personal costs (e.g., travel).
  • Package Freezing: Bundle packages may be placed on hold for medical reasons, hospitalisation, or family travel for up to 2 months upon prior written notice.
  • Transferability: Bundle packages are intended strictly for registered participants and are not transferable to other individuals unless approved in writing by Care2Run.
  • Package Expiry: Bundle packages expire 4 weeks after the final scheduled programme date of that cohort.
  • Remaining Balance: If Care2Run is unable to provide reasonable replacement sessions from its calendar, any eligible remaining balance may be refunded at Care2Run's discretion.
  • Disclosure Obligations: Parents and guardians must provide complete, accurate information regarding any condition that may affect participation, including medical conditions, allergies, regular medications, behavioural considerations, sensory requirements, and emergency contacts.
  • Participant Safety: Failure to disclose relevant sensory or medical conditions may impact Care2Run’s ability to provide appropriate support ratios and ensure participant wellbeing.
  • Illness Policy: Participants must not attend sessions when experiencing fever, infectious illness, or symptoms that compromise their safety or that of others. Care2Run reserves the right to pause participation where health concerns arise.
  • Safety First: The physical and emotional safety of children, volunteers, and coaches remains our highest priority. Participants and attendees are expected to follow coaching instructions and safety procedures.
  • Inclusive Conduct: Care2Run maintains zero tolerance for bullying, harassment, intimidation, discrimination, or abusive language. Care2Run reserves the right to suspend participation where conduct is unsafe, disruptive, or inconsistent with community values. Where participation is discontinued for behavioural safety reasons, refunds are not ordinarily provided.
  • Maintaining current and accessible emergency contact information at all times.
  • Supervising non-participating siblings and family members at the venue.
  • Supporting participant readiness and respecting venue boundaries.
  • On-Site Presence: Where reasonably requested by coaches for support or comfort, a parent, guardian, or caregiver may be asked to remain on-site during activities.

Care2Run periodically captures photographs, videos, and stories during sessions for documentation, reporting, and non-profit community advocacy.

Opt-Out Procedure: Parents who prefer that their child not be photographed may submit an opt-out request in writing to hello@care2run.my prior to the session. Participants with active opt-out preferences are encouraged to wear a discrete "No-Photograph" label/sticker on their right chest. While every effort is made to honour requests, absolute exclusion from wide-angle crowd or public event photos cannot always be guaranteed.
  • Volunteers are essential partners in delivering inclusive activities. All volunteers must adhere to Care2Run safeguarding procedures, maintain confidentiality, and follow head coach guidance.
  • Care2Run reserves the right to discontinue volunteer involvement where safeguarding or safety concerns arise. Volunteer service is non-remunerated and does not constitute an employment relationship.

In the event of an accident, sudden illness, or medical incident, Care2Run staff may administer basic first aid and take reasonable emergency measures (including contacting emergency ambulance services or arranging urgent medical care).

Parents and guardians acknowledge responsibility for any independent medical, ambulance, or hospital treatment costs incurred.

Participants and families are solely responsible for their personal items, bags, and sports equipment. Care2Run accepts no liability for loss, theft, or damage to personal belongings brought to session venues.

Participation in athletic, recreational, and outdoor activities involves inherent physical exertion and risks. By enrolling in Care2Run programmes, participants and guardians acknowledge these risks.

To the fullest extent permitted under applicable law, Care2Run, its trustees, coaches, volunteers, and venue partners shall not be liable for any injury, loss, or damage arising from participation except where caused by gross negligence or intentional misconduct.

Care2Run collects, processes, and stores personal data strictly for registration administration, participant support, emergency management, and organisational reporting in accordance with the Personal Data Protection Act 2010 (Act 709) of Malaysia. We never sell personal information to third parties.

Care2Run may revise these Terms & Conditions periodically to reflect evolving legal, operational, or safety guidelines. The latest version published on this page will supersede prior agreements.

These Terms & Conditions are governed by and construed in accordance with the laws of Malaysia. Any disputes arising in connection with Care2Run programmes shall be subject to the exclusive jurisdiction of the courts of Malaysia.
